It is the goal of Big Bear Tournaments to provide the best experience for each player entering our tournaments, and to ensure that all of those in attendance can enjoy that experience as well. Additional information that may be useful to your team participating in a Big Bear Tournament may be found in the “INFORMATION” page of the website.

Applications & Refunds

  •     Apply for the event of your choice on our website. Once accepted, deposit payment ($500) is required within 10 days to confirm your spot.  Your deposit is fully refundable up to 45 days prior to the event starting date with some exceptions. 
  •     Your entire entry fee must be paid in full 45 days prior to the event. Any payment received less than 45 days prior to the event start date will be assessed a $100 late fee.
  •      When your application is accepted, you will receive an email letting you know the details of the event and payment requirements.  In events that have filled prior to the published due date of payments, you may be notified to accelerate your payment deadline so that schedules can be finalized early.

Refunds / Rebates

  •      If your team is not able to participate and requires a refund, that request must be made by email to [email protected], along with name and address of where check is to be sent.
  •      The request must be submitted no later than 45 days prior to the start of play, Entry fees are non-refundable less than 45 days before the start of play.   
  •      Refunds will be sent as a check and will be processed in 2-4 weeks.

It is our goal to have every game end in a close margin. We put a great deal of effort into proper seeding and verifying teams are in a competitive division. Unfortunately, in some cases this is not always successful (See Information page for more info on Team Placement). In some very infrequent circumstances, the end outcome is not what our system had predicted, and we do not offer refunds or discounts based on team performance at a particular event.

No Shows: On occasion, teams that have paid decide at the last minute not to participate in an event (usually either weather or injuries). This creates several problems because the framework for the tournament is already in place. The ice is contracted, the refs and scorekeepers are scheduled, etc.  We recognize that this does not fulfill our commitment to a guaranteed number of games to other teams in the division. In this circumstance, Big Bear Tournaments will refund $200 upon completion of the event to each team that is affected by the team responsible for the no-show.  The team responsible for the no-show is not eligible for a refund.

Returned Checks

  •      NSF Returned checks will be subject to a $100 fee for each time a check is presented to the bank and returned.

Hotels

Big Bear Tournaments is a stay to play tournament company.

  •      Any team whose home arena is more than 70 miles from the primary tournament rink and/or has a driving time exceeding one hour and fifteen minutes, will be considered an out-of-town team and will be required to comply with our hotel policies. 
  •      Out-of-town teams are required to stay in a tournament hotel block to participate. Room blocks must be obtained through TTS and the room count must match the number entered on your application. Rooms must be booked 14 or more days before the first night of your stay.
  •      Many hotel options are available for each city and are booked on a first-come-first serve basis.
  •      Teams that register late for a tournament may have limited options. If you do not see a room block large enough for your group, please contact TTS Customer Service, [email protected] and they can inquire to get more rooms added to our blocks.
  •      Any room booked outside our hotel or booked on points or any other means that removes it from our hotel group block will affect the team or player’s eligibility.  Be aware that even if you initially book your reservation thru TTS, changing it with the hotel directly or thru a hotel app can remove you from the team’s block.  Always check if you are making a change that it does not take you out of the group block.
  •      If you are within driving distance, local team status, and are planning to stay in a hotel, you must book your rooms in the same manner as any out-of-town team. There are no minimum requirements for rooms for local teams.
  •      Opting out of the tournament hotel and remaining compliant can be done by paying an OPT OUT fee.  You must contact our office to make arrangements for this option.

Please keep in mind that holiday weekend tournaments (MLK and President’s Day) that are scheduled for Friday-Monday may require a three-night stay. Please indicate a Friday arrival and a Monday departure on your reservation. Once you receive a game schedule, you will have time to cancel a night that you will not need. To minimize the number of nights needed by each team, it has been our policy to begin some divisions on Friday that end on Sunday while others will begin on Saturday and end on Monday. If your school district does not recognize Monday as a holiday for either of these weekends, please indicate this information on your application in the comment section.

Please be aware that many of our partner hotels offer complimentary nights for the head coach, manager, or manager designated person, provided that a minimum of 13 rooms are booked for two consecutive nights by the team. Teams booking 13-14 rooms for two consecutive nights will receive one comp night. Teams booking 15+ rooms for two consecutive nights will receive two comp nights. If a team has not met the compliance requirement for their team, no comp nights will be awarded. This is not offered by all hotels and is subject to forfeit based on team behavior during the stay – the comp policy also varies by hotel and may require a higher minimum. All rooms for each team need to be booked within the team block and cannot be booked on points, discount program, or any other hotel booking service. Submissions for comp nights must be received two weeks prior to check-in, any submissions received after that are not guaranteed.

Big Bear Tournaments derives a small compensation from participating hotels for your stay. Any team or team member found during any tournament to be staying in a hotel that has not been booked through the procedure outlined above will cause that team to be disqualified from advancing to either the semi-finals or championship game or removed from the tournament regardless of their record. There will be no exception to this policy.

Our Commitment to Privacy

Big Bear Tournaments will use personal information collected through our registration process for a variety of business operations outlined here. We use this information for these activities and rely on the accuracy of the information provided to operate and fulfill your request for specific business interests, in order to enter into, or perform, a contract with you, with your consent, and/or for other related obligations between Big Bear Tournaments and its customers, suppliers, contactors, or other relations.  By entering data into the Big Bear Tournaments website you agree that email information or other information required to provide the service requested may be used in future marketing directly by Big Bear Tournaments or its third party marketing partners.

The Way We Use Information

We use your information to:

  •     Complete your registration, process payments, returns, exchanges, and provide services agreed
  •      Process, administer, award prizes in events you elect to participate in, or are randomly selected from applications entered in our system
  •      Discuss in person, telephone, text, email, or other means to communicate questions, respond to inquiries, solve problems, acquire additional information needed to meet our obligations to provide the requested service
  •      Big Bear Tournaments and/or our third-party marketing partners may use email information you provide, for marketing purposes, to send information to you about products or services related to the services requested or related products or services like those requested.  This information may be used to send specific advertising related to Big Bear Tournaments and/or their third-party marketing partners, products, or services
  •      Big Bear Tournaments is not responsible for any information provided directly with our third-party marketing partners who advertise products or marketing to you, and we make no affiliation for anything you may provide or request outside the Big Bear Tournaments website and you provide that information at your own risk
  •     Any information that is personally identifiable, including but not limited to phone numbers, addresses, credit card numbers, or anything other than email addresses, is ever shared with third-party marketing partners and are only used to provide the service requested.
